• Ask the facility office or RWA whether they need a move-out gate pass, a no-dues note or an owner's letter. Ask about any deposit, and whether moving is allowed only at certain hours.

• Find out where the truck can stand: at the tower entrance, in a basement with a height limit, or only at the main gate. If it is far from your tower, the carry distance changes the labour and the time.

Kota delivery: use a road gate, not a riverfront landmark

Kota sits on the banks of the Chambal, and its riverfront has been developed along both banks between the Kota Barrage and Nayapura Pulia. Landmarks like these, or the name of a well-known coaching centre, help when you are describing where a place is. They do not tell a crew which entrance to use, where a goods vehicle can stop, or which floor your room is on.

Give the mover a receiving point, not just an area.

• The full building or PG name, the flat or room number and the floor
• The street the entrance opens onto, and the PIN code
• A map pin dropped at the actual gate, not at the area centre or a nearby institute
• The name and phone number of the person who will receive the goods
• Whether there is a lift, how many floors of stairs there are, and roughly how far it is from the road to the door
• Any time window the building or manager allows for deliveries

Do not work out a truck route from a passenger landmark. Which bank of the river the address is on, whether a bridge is involved, and whether parking is allowed near a promenade or market are all for the operator to check against the actual pin. Ask for any resulting access work to be priced before booking. If the main vehicle cannot reach the gate, the quote should say whether a smaller shuttle vehicle or a longer carry is needed, and what it costs.

Room confirmation before pickup: prevent an unready delivery

Goods arriving before the room is available creates an avoidable handover problem. Run through this check before the Noida loading is confirmed.

1. The room or unit is allotted to you, and the keys will be available on the delivery day.
2. The PG manager, warden or landlord has agreed to accept the delivery, and knows the expected day and hours.
3. One person is named as authorised to receive the goods and count the cartons against the inventory. Share their name and number with the mover.
4. You know whether there are stairs or a lift, and where the vehicle can stop.

Pack a study setup for the first night, not the whole room twice

Books are heavy and cartons tear. A sensible packing plan also means you can study on the first evening without unpacking everything.

Books and notes

• Use clean, dry cartons with firm bottoms. Keep each book carton manageable and ask the crew for its packing and lifting limits rather than guessing a weight.
• Pack books flat where suitable, cushion them and fill gaps to limit movement, and keep liquids, ink and toiletries out of book cartons.
• Label each carton by use, such as 'Physics notes' or 'Reference books', and give it a number that matches the inventory.

Devices and data

• Back up your files and check that the backup opens. Then shut devices down fully before packing.
• Carry your laptop, tablet, chargers, original documents, admission papers, any medicines and the material you need for the next few days yourself. Do not put them in the load.
• Pack monitors, printers and desk lamps in their original boxes if you still have them, or in well-cushioned cartons marked 'fragile, this way up'.

Do not tie your arrival to a shared load

A small load on a shared vehicle can be good value, but its timing is less predictable than a dedicated vehicle. Take what you need for the first few days with you. That way, the date your cartons arrive does not decide when you can start.
